Common Questions

Pricing FAQ

Everything you need to know about how Opsium pricing works.

Is there a free trial?

Yes. 14 days, full product, no credit card. Every feature is on, you select whether you want account with real-world demo data or a blank list, and you talk to a real person if you get stuck. We would rather you tried Opsium for real than poked at a feature-crippled free tier.

Is there a setup or migration fee?

No. Onboarding, data migration, and initial configuration are included on every plan. Send us your spreadsheets, time tracker exports, project lists, and rate cards on day one and our team imports them into your Opsium organization. Most agencies are operational on Opsium with 1 to 3 years of historical data inside a week.

What counts as a member seat?

Anyone you actively manage in Opsium during the month. A member counts if they meet at least one of these: - Scheduled on the Planner (any allocation, any duration), or - Have logged or imported time entries, or - Appear on an invoice, or - Have an access to the platform. Everyone else who shows up through your Jira, QuickBooks, or Google Workspace integrations is a free Directory seat. They are visible in your dashboards but not on your invoice. Example: a 60-person agency with 45 billable engineers and PMs and 15 ops, HR, and sales people typically pays for around 45 people.

Do clients, guests, placeholders, or read-only viewers count?

No. Invite as many client viewers, guest collaborators, placeholders, and read-only auditors as you need. They are free. Only people you actively schedule, time-track, or bill against count toward your invoice.

Do part-time, contract, or freelance people count?

Only in months where they are actively scheduled, time-tracked, or invoiced. A freelancer who is idle for a month does not count that month. A contractor allocated to a project counts in those months.

What's the minimum, and why?

25 people. Two reasons. Below 25, a spreadsheet still works and you would outgrow Opsium too fast to make the migration worthwhile. And our white-glove onboarding (data migration, configuration, training) is real human time. The minimum makes sure every customer gets the level of attention this product needs.

How does billing work?

After we sign the contract, we send you a Stripe payment link. You pick how to pay: link a card or pay by invoice. Card payments auto-charge on your billing schedule (monthly, annually, or every two years, depending on the term you signed). Invoice customers get a fresh Stripe invoice each cycle and pay through their normal AP process. You can cancel your subscription any time by reaching our team out.

What happens if I miss an invoice?

You get a 14-day grace period after the invoice due date. We send reminders and we are easy to reach by email. After 14 days, access is paused; we keep your data for 90 days while you sort things out. You can re-activate any time during those 90 days by paying the outstanding amount.

Can I switch terms or cancel?

You can upgrade to a longer term any time and we prorate the difference. Going the other way (downgrading from Annual to Monthly mid-term) waits until your renewal. Monthly customers can cancel any time; access continues through the end of the month you have paid for. Annual and 2-Year customers are committed for the term they signed.

How do you handle a person count that changes during my contract?

We do not recount monthly. That is painful for both sides. For Annual and 2-Year contracts, we review your count once per quarter. We only bill more if your count has been more than 10% above your committed number for two consecutive monthly reviews. Short-term fluctuations (a project ends, a contractor cycles in) do not trigger a charge. You can see your live person count in your admin panel any time.

What does Enterprise include?

For teams of 100+ people: - Volume discount on the per-person rate - Dedicated Customer Success Manager with monthly check-ins - Priority Onboarding - Priority Support - Manual payment options: net-30 invoicing, POs, multi-entity, multi-currency - Dedicated instance on request - Optional custom integration to your in-house HRIS, ERP, or accounting systems Talk to us and we will quote on size and term.

What if we only need the Resource Planner?

Float charges $12/seat for resource management alone. Runn charges $14. So with Opsium at $12/person annual, you're getting profitability tracking, automated invoicing, and integrated time tracking for the same price as a single-purpose tool. Try it for 14 days — most teams who say "we only want the Planner" find themselves in the profitability dashboard within a week.
